4. Bookings and Enquiries 

Clients may enquire or request bookings through:

Submitting an enquiry does not create a booking. 

A booking is only confirmed when Smart Office Spaces provides written confirmation. 

We reserve the right to decline enquiries or bookings at our discretion. 

Availability of offices, boardrooms, meeting spaces, and hot desks is subject to demand. 

5. Payment Terms 

Unless otherwise agreed in writing: 

• payment is required before the commencement of any service; 

• invoices must be paid by the due date; 

• access to services may be withheld until payment has been received; 

• late payments may result in suspension or cancellation of services. 

All prices are quoted in Australian Dollars (AUD) unless otherwise stated. 

GST will be included where applicable. 

6. Cancellations and Rescheduling 

Clients should notify us as soon as possible if they need to cancel or reschedule a booking. 

Cancellation requests will be considered in accordance with the booking arrangements agreed at the time of confirmation. 

Where refunds are applicable, they will be processed using the original payment method unless otherwise agreed. 

Failure to attend a confirmed booking without notice may result in forfeiture of fees already paid. 

7. Office Memberships 

Private office memberships are governed by separate licence or occupancy agreements. 

These Terms apply in addition to those agreements. 

Where any inconsistency exists, the signed office agreement will prevail. 

8. Boardroom Hire 

Boardroom bookings are subject to: 

• availability; 

• confirmation by Smart Office Spaces; 

• payment prior to use; 

• compliance with these Terms. 

Clients are responsible for ensuring all attendees behave appropriately and comply with reasonable directions from staff. 

9. Hot Desk Use 

Hot desks are provided on a shared workspace basis. 

Unless expressly agreed otherwise, Smart Office Spaces does not guarantee allocation of a particular desk. 

Users agree to: 

• keep workspaces clean and tidy; 

• respect other occupants; 

• maintain professional behaviour; 

• use facilities responsibly; 

• comply with workplace health and safety requirements. 

Users must not: 

• leave belongings unattended overnight unless authorised; 

• engage in illegal or disruptive behaviour; 

• damage equipment or facilities; 

• interfere with the quiet enjoyment of other users. 

10. Client Responsibilities 

Clients agree to: 

• provide accurate information; 

• comply with all applicable laws; 

• use our facilities responsibly; 

• follow reasonable directions given by staff; 

• respect other occupants and visitors. 

Clients are responsible for the conduct of any guests they invite onto the premises. 

11. Acceptable Use of Premises 

To ensure a professional environment, clients must not: 

• create excessive noise; 

• behave in a threatening, abusive, or offensive manner; 

• engage in unlawful activity; 

• damage property; 

• misuse shared facilities; 

• interfere with security systems; 

• smoke or vape inside the premises unless permitted by law. 

We reserve the right to remove any individual whose behaviour compromises the safety or enjoyment of others. 

12. Internet and Wi-Fi 

Wi-Fi access is provided as a convenience. 

While we aim to provide reliable internet access, uninterrupted service cannot be guaranteed. 

Users must not use our internet services for: 

• unlawful activities; 

• copyright infringement; 

• hacking; 

• distribution of malicious software; 

• sending spam; 

• accessing illegal content. 

We reserve the right to suspend internet access where misuse is suspected. 

13. Security and Personal Property 

Clients remain responsible for their own personal property. 

Smart Office Spaces accepts no responsibility for loss, theft, or damage to personal belongings unless required by law. 

Clients should avoid leaving valuables unattended. 

14. Damage to Property 

Clients are responsible for any damage caused by themselves, their employees, contractors, or guests beyond reasonable wear and tear. 

Where damage occurs, Smart Office Spaces may recover the reasonable cost of repair or replacement. 

15. Intellectual Property 

All website content, including text, logos, branding, graphics, photographs, layouts, and downloadable materials, remains the property of Smart Office Spaces unless otherwise stated. 

No content may be copied, reproduced, or distributed without prior written permission.

Any disputes arising under these Terms shall be subject to the exclusive jurisdiction of the courts of Queensland.
